Space limitations and security reasons restrict most official events to a certain number of media personnel. Coverage of said events will be under a media pool scheme. Each country will be allocated with a limited number of media pool passes with the understanding that media representatives will share coverage material with their colleagues, once requested. Media pools will gather at the IMC’s Pool Staging Area before proceeding to designated positions.
Detailed information on pool composition and pool coverage plan will be provided by the Media Liaison Officers (MLO).
Meanwhile, the basic structure of the pool guideline is as follows:
- The pool composition may vary from 29 to 45, depending on the allowable number of people the room can accommodate.
- Pool system will be adopted on rotating basis. Each pool member shall be issued a security checked pool overpass.
- Events for the SOM/ SEOM/ ASC shall adopt a limited photo-op pool on sign up basis at the IMC. The same rule applies for the Spouses’ Program.
- There are holding areas especially for the pool coverage for the Shangri la events at Buko Bar and Treasure Island, equipped with wi-fi and phone lines for transmission of stories. Pool assembly areas are also designated at the IMC.
- As usual practice, the media will be boarded in shuttle buses and together brought from venue to venue.
Composition of the ASEAN pool:
- Except for the Philippines, each country of the ASEAN and dialogue partner country is entitled to two (one still photo, one video).
- National media pool of one photo and one video has a close-in team
- Cebu host media pool of three (photo).
- Wire pool of five (photo and video only).
Media Request Form
In order to address the need of the media for interviews and statements from various key people, we are providing a MEDIA REQUEST FORM to be filled out by media representatives who wish to secure a scheduled interview or cover specific events through out the summit, such as bilateral talks and signing of agreements between countries, which are normally not open for media.
These requests will be forwarded to the Country Liaison Officer concerned for approval. The Philippine Liaison Officers and Philippine Media Relations Officers will be facilitating the request in their behalf.
